Chronicle Books seeks an Editorial Assistant to support the Art publishing group by providing administrative, editorial, and project management support to the Executive Publishing Director of Food & Lifestyle and Art publishing and the Executive Editor of Formats. This entry-level position is an excellent stepping stone for anyone interested in illustrated art, food, and lifestyle publishing and gift product development.

Primary Job Responsibilities:

Project Management: Responsible for managing all Executive Publishing Director of FLS + ART and Executive Editor of Formats acquisitions, successfully executing the original visions, and bringing projects to on-time publication. Tasks to include, for example:


  • Log and evaluate submissions
  • Read and evaluate early deliveries and final manuscripts; create art logs
  • Track manuscripts and galleys through the editorial process
  • Input or oversee the inputting of corrections to manuscripts and galleys
  • Maintain title schedules
  • Assist Design, Production, and Sales + Marketing to shape and execute vision of a title
  • Generate title memos copy for tipsheets, flap and back cover and catalog
  • Solicit back cover quotes
  • Communicate with authors, artists, packagers, overseas publishers, and literary agents throughout the editorial process
  • Lead transmittal meetings


Administrative: Provide administrative support to the Executive Publishing Director of FLS + ART and Executive Editor of Formats. Tasks to include, for example:


  • Prepare rejection letters
  • Assist with proposal research and consumer research
  • Apply for CIP data and Copyrights
  • Send out catalogs, author mailings, “big mouth” mailings
  • Make sure author and agent copies are sent to authors
  • Create contractual check requests and track contractual payments
  • Maintain title files
  • Maintain general correspondence
  • Create and maintain schedules, agendas, and priorities for all pending activities
  • Generate P&Ls and deal sheets

    Periodic Job Responsibilities:

    • Attend meetings (e.g. Publishing group, department, transmittals)
    • Present at sales conference, author meetings, and on other occasions, as requested



    • One year of publishing experience, such as internships or other assistant-level work, with proven project management and people skills
    • Demonstrated skills in copywriting and written communications
    • Ability to represent Chronicle Books in meetings and in author relations
    • Ability to successfully and efficiently manage many details and tasks simultaneously
    • An attention to detail and a penchant for innovation
    • Strongly self-motivated with the ability to work independently as well as in a collaborative group
